Fireflies vs Otter 2026: Which AI Notetaker to Choose?

Fireflies vs Otter in 2026: plan prices, minute and storage caps, languages, CRM sync and a five-seat cost scenario, with prices read on vendor pages, October 2026.

Fireflies vs Otter 2026: Which AI Notetaker to Choose?

Short answer: pick Fireflies if your team needs CRM sync, transcription in 100+ languages or a storage archive, and pick Otter if you want a live transcript on screen and the cheapest paid seat. Otter Pro is $8.49 per user per month billed yearly; Fireflies Pro is $10 per seat billed yearly. Both prices were read on the vendors' pricing pages on October 17, 2026.

The two tools look interchangeable on a feature list: a bot joins your Zoom, Google Meet or Microsoft Teams call, transcribes it, writes a summary and pushes action items into Slack or a CRM. The difference is in what each one caps. Otter meters minutes. Fireflies meters storage and AI credits. That single design choice decides which one will frustrate you first.

Who wins on price?

Otter wins the entry price, Fireflies wins the mid tier, and the gap is small enough that caps matter more than dollars. Otter Pro at $8.49 per user billed yearly undercuts Fireflies Pro by $1.51 a seat. One step up, Fireflies Business at $19 per seat is 99 cents under Otter Business at $19.99. At the top, Fireflies publishes an Enterprise price and Otter does not.

The annual commitment is where both prices live. Otter's monthly rate is about double its yearly one, and Fireflies' monthly Pro is 80% above its yearly rate (the vendor advertises savings of up to 44% on annual billing). A team that insists on monthly billing pays Otter $16.99 and Fireflies $18 per seat, and at that point the tools are a dollar apart and the feature caps decide.

Here is the five-seat scenario, computed from the list prices above. On yearly Pro, five people cost $509.40 a year on Otter and $600 on Fireflies, a $90.60 difference. On yearly Business the order flips: $1,140 on Fireflies against $1,199.40 on Otter. A solo user on yearly Pro pays $101.88 at Otter and $120 at Fireflies. None of those gaps buys a coffee a week, so read the caps before you let the price pick.

Toolradar data: Fireflies' entry paid plan ranks #7 of 20 (joint) for price among the transcription tools with a verified per-user entry price in Toolradar, the software directory we run, where the median entry price is $14.50 per user per month as of October 2026. Both tools sit under that median (Otter's own Toolradar profile places its entry plan #20 of 65 transcription tools for price), which is why this matchup is about limits rather than cost.

Who wins on the free plan?

Fireflies, for anyone who records more than five hours a month; Otter, for anyone who wants a long archive of short meetings. Otter Basic gives you 300 transcription minutes a month and cuts every conversation at 30 minutes, which rules out most sales calls and every one-hour customer meeting. Fireflies Free transcribes without a minute cap but holds only 400 minutes of storage for the whole team and limits AI summaries, so recordings age out fast.

Put differently: Otter's free plan limits what you record, Fireflies' free plan limits what you keep. A student taping three lectures a week will hit Otter's 30-minute cut on day one. A manager who wants to search last quarter's calls will find Fireflies has already deleted them. If a free notetaker is the goal, Fathom stores unlimited recordings at no cost and makes both of these free tiers look like trials; our list of the best free AI note-takers covers the rest of the no-cost options.

Who wins on transcription?

Otter for the live experience, Fireflies for language coverage. Otter was built around the transcript that scrolls on screen while people talk, with speaker recognition and the ability to highlight a line as it appears. That is still the reason students, journalists and anyone with a hearing need pick it. Fireflies offers real-time notes and live transcription too, but its product is organized around what happens after the call.

Language support is the clean split. Otter's pricing page lists English, Spanish, French, German, Japanese and Chinese on Basic and Pro. Fireflies lists English as primary, with Spanish, French, Portuguese and Italian supported and 100+ other languages in beta. A team that runs calls in Portuguese or Hindi has no Otter option below Enterprise, and "beta" at Fireflies means you should test your language on the free plan before paying.

Meeting length caps belong here too. Otter Pro stops a meeting at 90 minutes and Business at 4 hours; Fireflies lists no per-meeting cap on paid plans, only storage. A two-hour board meeting or a half-day workshop is a Fireflies job unless you buy Otter Business.

Who wins on AI summaries and search?

Fireflies on paid plans, with a caveat about credits. Both tools write a summary and action items after every call and both have a chat assistant: AskFred at Fireflies, Otter AI Chat at Otter. Fireflies' free plan limits AI summaries; its Pro plan makes them unlimited and adds an email assistant, a personal assistant, an action-items manager and a library of 200+ AI Skills.

The caveat is the meter. Fireflies' pricing page says AI Skills, the personal assistant and voice agents require AI credits: 20 a month on Free and Pro, 30 on Business, 50 on Enterprise. Transcription and summaries are listed as unlimited on paid plans; the automation layer on top is what the credits ration. Otter publishes no comparable credit system on its pricing page, so a heavy user of Otter AI Chat is not watching a pool drain.

Search is a tie for most people. Both index transcripts by keyword and speaker. Fireflies adds topic trackers and talk-time analytics on Business, which is a coaching feature rather than a search feature. If the question is "what did the customer object to last Tuesday", either tool answers it, and so do most of the apps in our AI note-taking apps list.

Who wins on integrations and CRM?

Fireflies, by depth and by tier. Its Pro plan includes unlimited integrations: Salesforce, HubSpot, Slack, Asana, Trello, Notion, Zapier, the Greenhouse, Lever and BambooHR recruiting systems, and the Aircall and RingCentral dialers, plus a public API on every plan including Free. Otter integrates with Salesforce, HubSpot, Slack, Jira, Notion, Asana, Google Docs, Google Calendar and Dropbox, and its homepage names a Claude AI connection.

The practical difference is the dialer and the recruiting stack. A support team on Aircall or a recruiting team on Greenhouse gets native logging from Fireflies and not from Otter. A sales team on Salesforce or HubSpot gets CRM sync from both, so the choice there comes back to price and caps. Who wins on team features and admin?

Fireflies on paper, Otter on simplicity. Fireflies Business adds team analytics for admins, user groups, public meeting access and multi-language mode; Enterprise adds a rules engine, SSO and SCIM, audit logs, HIPAA compliance, private storage, custom data retention and a super admin role, all at a published $39 per seat. Otter Business adds unlimited imports and the 4-hour meeting cap, and its Enterprise tier is custom-priced.

The admin question most teams actually ask is about the bot. Both tools send a visible notetaker into the call and neither lists a device-capture mode on its pricing page. If customers object to a bot in the participant list, the answer is not Fireflies or Otter but Granola, which records on your own machine, or Fathom's bot-free beta on Mac. For transcription-first tools that skip the meeting bot altogether, our AI transcription tools ranking separates the two categories, and the free transcription tools list covers the no-cost end.

Ratings and the honest tie

Neither tool is the category leader. On Toolradar's Fireflies vs Otter comparison, updated October 15, 2026, Fireflies carries an aggregate user rating of 4.7 out of 5 from 753 reviews and Otter 4.4 from 608, both compiled from public review sites rather than our own scoring. In Toolradar's ranking of 169 transcription tools, Fireflies sits at #10 and Otter outside the top ten, behind Granola and Fathom. That matches the buying reality: these are the two best-known names, not the two best-rated products, and a buyer who has not shortlisted Fathom or Granola should do so before paying for either. Our Fireflies review goes deeper on its plan limits.

The verdict

Choose Fireflies if any of these is true: your calls run in a language outside Otter's six, your team logs to a dialer or a recruiting system, your meetings run past 90 minutes, or you want a published Enterprise price with SSO and HIPAA. Pay yearly, because the monthly rate erases its price advantage.

Choose Otter if the transcript on screen during the call is the feature you use, if your meetings are short and frequent, or if you want the lowest yearly seat price and can live with 1,200 minutes a month on Pro. Students and note-takers in English, Spanish, French, German, Japanese or Chinese lose nothing by picking it.

Choose neither if the bot is the problem or the free plan is the budget. Granola solves the first; Fathom solves the second. A five-seat team on either Pro plan spends between $509.40 and $600 a year, so the mistake to avoid is not overpaying by $90, it is buying the tool whose cap your team hits in week two.

Methodology: every price and limit above was read on the Fireflies and Otter pricing pages on October 17, 2026; the Toolradar figures come from its Fireflies profile and its Fireflies vs Otter comparison dated October 2026. FAQ

Is Fireflies or Otter cheaper?

Otter is cheaper at the entry tier and Fireflies at the mid tier. Otter Pro is $8.49 per user per month billed yearly ($16.99 monthly) against Fireflies Pro at $10 per seat billed yearly ($18 monthly). Fireflies Business at $19 per seat yearly is just under Otter Business at $19.99. Prices were read on both vendors' pricing pages on October 17, 2026.

Which has the better free plan, Fireflies or Otter?

It depends on what you record. Otter Basic allows 300 transcription minutes a month and 30 minutes per conversation. Fireflies Free transcribes without a minute cap but stores only 400 minutes for the whole team and limits AI summaries. Long or frequent meetings favor Fireflies; a lasting archive of short meetings favors Otter. Fathom's free plan has neither cap.

Does Otter or Fireflies support more languages?

Fireflies. Its pricing page lists English as primary, Spanish, French, Portuguese and Italian as supported, and 100+ other languages in beta. Otter's Basic and Pro plans list six languages: English, Spanish, French, German, Japanese and Chinese.

Can Fireflies or Otter record without a bot joining the meeting?

Neither lists a bot-free capture mode on its pricing page; both send a visible notetaker into Zoom, Google Meet and Microsoft Teams. Otter can also record from its desktop, mobile and Chrome apps, but that is still a recording you must disclose. Granola captures on your own device, and Fathom offers a bot-free beta on Mac.

Is Fireflies better than Otter for sales teams?

Usually. Fireflies Pro includes unlimited integrations with Salesforce, HubSpot, Slack and the Aircall and RingCentral dialers, and Business adds talk-time analytics, topic trackers and team analytics for coaching. Otter syncs with Salesforce and HubSpot too, so a team that only needs call notes in the CRM can pick on price; a team that wants dialer logging or coaching metrics should pick Fireflies.
