Fathom Review

What Fathom's free plan covers, what Premium, Team and Business add, the two-seat minimum, and how it lines up against Otter, Fireflies, Granola and Circleback, with prices read on vendor pages in October 2026.

TL;DR

Fathom is worth it in 2026, and for most individuals the free plan is enough. Free gives unlimited recordings, transcription, basic summaries and clips on Zoom, Google Meet and Microsoft Teams. Premium is $16 per month billed yearly ($20 monthly) and adds advanced summary templates, AI action items, follow-up emails and the ChatGPT, Claude, Slack and CRM connections. Team and Business are priced per user, billed yearly with a two-user minimum, and Business tops out at $25 per user per month. The catch: CRM field sync, deal view and custom summaries sit on Business only, and the free plan's AI features are capped at "limited use". Closest alternatives: Otter.ai, Fireflies, Granola and Circleback.

Best forFree meeting recording with paid AI extras

Fathom is the AI notetaker people recommend when the question is "which one is free". Its answer has not changed in 2026: a free plan with no recording cap, no transcription cap and no storage cap. That is a rare position in a category where Otter counts minutes and Fireflies counts credits.

The free plan is the product, and the paid tiers exist to sell it to teams.

This review is for people who sit in Zoom, Meet or Teams calls all week and want notes without paying for a seat, plus the managers who have to decide whether a team plan earns its two-user minimum. Prices come from Fathom's pricing page, checked on October 17, 2026.

No test lab here: the verdicts below are built from what Fathom publishes and from the pricing pages of its four closest rivals.

Toolradar data: Fathom ranks #2 of the 169 transcription tools Toolradar, the software directory we run, evaluated for its transcription ranking on October 16, 2026, and it is listed as an alternative to 76 other tools in that catalog.

That is the widest cross-shopping footprint of any notetaker we cover on the AI meeting assistants list.

What is Fathom?

Fathom is an AI notetaker for video calls that records, transcribes and summarizes meetings on Zoom, Google Meet and Microsoft Teams. It can join as a visible bot or, in a Mac beta, capture the call without a bot on the participant list.

After the call you get a summary, a searchable transcript, clips you can cut and share, and playlists of highlights. The vendor says it is used at 300K+ companies and lists SOC 2 Type II, GDPR and HIPAA on its site.

The free plan is where Fathom differs from the category. Fathom's plan matrix gives every tier, including Free, unlimited recordings, unlimited call storage, unlimited transcription and unlimited clips and downloads.

The things Free holds back are AI features: advanced summaries (15+ templates), AI follow-up emails and coaching metrics are off, and AI action items, single-call Ask Fathom and Zapier automations are marked "limited use" with no number attached.

So Free is a full recorder with a basic summarizer, not a crippled trial.

Paid plans split into individual and team. Premium is the solo upgrade: advanced summaries, action items, a conversational meeting assistant, a custom bot name, the option to switch off the in-meeting banner, and the integrations (ChatGPT, Claude, Slack, Zapier, Make, the public API and MCP, and CRM syncs for up to 3 users per domain).

Team adds the shared workspace: team recordings, folders, comments and mentions, trackers that auto-tag calls, and team-wide search. Business layers on CRM field sync, deal view, coaching metrics with AI scorecards and custom summaries.

Enterprise is contact-sales and brings SSO, Okta SCIM, custom data retention, a signed HIPAA BAA and a dedicated success manager.

Two facts to carry into the buying conversation. Team and Business require at least two users, so a solo manager cannot buy one Business seat for the CRM field sync. And every paid plan carries a 90-day guarantee, which Fathom prints on the plan matrix but does not detail further on the pricing page.

How Fathom works

You connect your calendar, and Fathom either joins scheduled calls as a bot or, on Mac with the beta capture mode, records from the device without appearing as a participant. The transcript builds during the call.

Summaries land after it ends: the free plan's automated summary, or on Premium and above one of the 15+ advanced templates such as a sales call or a customer interview. Action items come out as a list you can push to Asana or your CRM.

After the call, the transcript is searchable by attendee and keyword on every plan. Ask Fathom is the chat layer: on a single call it answers questions like "what did the customer object to", and on team plans it runs account-wide across the whole team's calls.

The asterisk on the vendor's matrix matters here. Account-wide Ask Fathom is unlimited on your own calls but has a limited lookback on team calls, even on Business. If the plan is to interrogate a quarter of sales calls at once, ask sales about the lookback window before you sign.

The integrations are the part the free plan withholds. Premium unlocks Slack delivery, the ChatGPT and Claude connections (so an assistant can read your meeting history), the API and MCP, and CRM syncs. The CRM sync on Premium and Team is capped at 3 users per domain.

Business is where the CRM becomes a two-way system: field sync writes call data into HubSpot or Salesforce properties, and deal view groups calls by opportunity. That is the line between a notetaker and a light conversation-intelligence tool.

Recordings are the hidden strength. Because storage and clips are unlimited on Free, a manager can cut a 40-second highlight from a customer call and drop it into a playlist for the team without paying anything. Granola cannot do this at all (it keeps no audio), and Otter caps free users at 30 minutes per conversation.

Read the fine print on consent anyway: a bot in the room announces itself by default, and Premium lets you disable the banner, which does not change your legal duty to tell participants in two-party consent states.

Fathom key features

Unlimited free recording and transcriptionEssential
Free includes unlimited recordings, storage, transcription and clips on Zoom, Meet and Teams. Otter's free tier stops at 300 minutes a month, so this is the reason Fathom tops most free shortlists.
Advanced summaries and AI action itemsEssential
Premium and above add 15+ summary templates, AI action items and AI follow-up emails. Free gets one automated summary and limited use of action items, which is the real upgrade trigger.
Bot or bot-free capture
Every plan can send a bot into the call or, in a Mac beta, record without one. Teams that lose customers to the notetaker-in-the-room moment get the choice without paying extra.
Ask Fathom and trackers
Chat with a single call on Premium, across the team's calls on Team and Business (with a limited lookback on team calls). Trackers auto-tag mentions of competitors, pricing or churn risk from Team up.
CRM field sync and deal view
Business writes call data into HubSpot or Salesforce fields and groups calls by deal. Premium and Team only get a basic CRM sync capped at 3 users per domain.
ChatGPT, Claude, API and MCP
Premium unlocks the ChatGPT and Claude integrations, the public API and MCP, so another assistant can read your meeting history. Free users cannot connect any of them.

Fathom pricing

Fathom publishes five tiers on its pricing page, and the figures below were read there on October 17, 2026. Free is free forever. Premium is the individual plan, Team and Business are priced per user with a two-user minimum, and Enterprise is contact sales; the table below lists the yearly and monthly price of each.

Yearly billing saves 25% or more on every paid tier, and all of them come with a 90-day guarantee.

Three cost scenarios, computed from those list prices. A solo consultant who wants advanced summaries and the Slack and CRM hooks pays $192 a year on Premium billed yearly, or $240 if billed monthly. A five-person team on Team billed yearly pays $75 a month, $900 a year.

The same five people on Business billed yearly pay $125 a month, $1,500 a year, and $170 a month if they refuse the annual commitment. The $600-a-year gap between Team and Business buys CRM field sync, deal view, scorecards and custom summaries, so a team that only wants shared folders and comments should stay on Team.

Against the field, Fathom's paid seats sit mid-pack.

Otter Pro is $8.33 per user per month billed annually ($16.99 monthly list, read 19 October 2026) and Fireflies Pro is $10 per seat billed yearly ($18 monthly), both cheaper than Fathom Premium but with minute or credit caps that Fathom does not have.

Granola Business is $14 per user per month and Circleback Pro costs the same as Fathom Team. At the top, Fathom Business and Circleback Business are level, while Otter Business is $19.99 yearly and Fireflies Business $19.

Two things offset the mid-pack seat price: nothing else here gives unlimited free recording, and nonprofits get 10 free seats from Fathom.

Fathom pros and cons

What we like

  • Unlimited recordings, storage, transcription and clips on the free plan, with no minute cap.
  • Premium adds 15+ summary templates, action items, follow-up emails and the ChatGPT, Claude, Slack and CRM connections.
  • Choice of bot or bot-free capture on every tier, plus a 90-day guarantee on paid plans.

What could be better

  • CRM field sync, deal view, scorecards and custom summaries sit on Business only, with a two-user minimum.
  • Free users get only "limited use" of AI action items, Ask Fathom and Zapier, with no published quota.
  • Bot-free capture is a Mac beta, and SSO, SCIM and a HIPAA BAA need the contact-sales Enterprise tier.

Who Fathom is for

Fathom is the right default for anyone who wants a recorder, a transcript and a usable summary at $0. Freelancers, job seekers in interview loops, managers running 1:1s, and small teams that do not need a shared workspace will get what they need from Free and never see a bill.

If you want to try before committing, the free plan is the trial, and the best free AI note-takers list explains how it compares with the other no-cost options.

Premium earns its keep when the AI output is the point. Fifteen-plus summary templates, action items you can hand off, follow-up emails and the ChatGPT or Claude connection turn a recording archive into a workflow.

If you read our ChatGPT review or Claude review and already pay for one of them, the integration alone can justify the upgrade.

It is a weaker fit in three cases.

A sales org that wants revenue intelligence (scorecards, field sync, deal view) must buy Business with at least two seats, and at that seat price Fireflies Business or a dedicated conversation-intelligence tool deserves a look; see our Fireflies review and Fireflies vs Otter for the comparison.

A buyer who refuses any bot in any meeting is better served by Granola, whose whole product is device capture, since Fathom's bot-free mode is a Mac beta. And an enterprise that needs SSO, SCIM or a signed BAA has no list price to budget against, because all of that lives on the contact-sales tier.

The bottom line

Fathom is the notetaker to install first, because the free plan does most of the job. Unlimited recording, transcription, storage and clips at no cost is an offer none of Otter, Fireflies, Granola or Circleback match. Stay on Free until the "limited use" cap on action items or Ask Fathom gets in your way.

Pay for Premium when the AI output matters more than the archive. Advanced templates, action items, follow-up emails and the ChatGPT, Claude and Slack connections are a fair trade for $192 a year. Pay for Team when two or more people need shared folders, comments and trackers.

Pay for Business only when CRM field sync and deal view are the requirement, and compare that Business seat with Fireflies Business before you do. Skip Fathom if you refuse any bot (Granola) or need SSO on a list price (Circleback).

Methodology: prices and plan features were checked on Fathom's pricing page and on the pricing pages of Otter.ai, Fireflies, Granola and Circleback on October 17, 2026, and the Toolradar ranking figure comes from its transcription category page dated October 16, 2026.

We run no test lab and award no star rating; verdicts rest on the published plan matrix and the computed cost scenarios above.

Frequently asked questions

How much does Fathom cost in 2026?

Fathom has a free plan with unlimited recordings and transcription. Premium costs $16 per month billed yearly or $20 month to month. Team is $15 per user per month and Business is $25 per user per month, both billed yearly with a two-user minimum; monthly billing raises them to $19 and $34. Enterprise is contact sales. Prices were read on Fathom's pricing page on October 17, 2026.

Is Fathom's free plan really unlimited?

For recording, call storage, transcription, clips and downloads, yes: the plan matrix lists all four as unlimited on Free. What is limited is AI: advanced summary templates, follow-up emails and coaching metrics are off, and AI action items, single-call Ask Fathom and Zapier automations are marked "limited use" without a published number.

Does Fathom join meetings as a bot?

By default a Fathom bot joins Zoom, Google Meet or Microsoft Teams calls and shows an in-meeting banner. Every plan also offers a bot-free capture mode, which is a beta feature for Mac. Premium and above let you rename the bot and disable the banner, but you still have to tell participants you are recording where consent laws require it.

What does Fathom Business add over Team?

Business adds CRM field sync into HubSpot or Salesforce properties, a deal view that groups calls by opportunity, coaching metrics with AI scorecards and custom summaries. Team already has the shared workspace, team folders, comments, trackers and team-wide search. For five people billed yearly the difference is $600 a year.

Is Fathom better than Otter.ai?

For free users, Fathom: its free plan has no minute cap, while Otter Basic stops at 300 minutes a month and 30 minutes per conversation. For the cheapest paid seat, Otter: Pro is $8.33 per user per month billed annually against Fathom Premium, which costs almost twice as much. For a live transcript on screen during the call, Otter remains the stronger choice.

What are the best Fathom alternatives?

Otter.ai for live transcription and the lowest paid seat, Fireflies for cheap team seats and transcription in 100+ languages, Granola for bot-free capture with no audio stored, and Circleback for AI notes plus a recording library with flat monthly pricing. Our best AI meeting assistants list covers the wider field.
