  • Updated: October 29, 2026
  • Prices as of: October 2026
  • 4 plans compared: Basic, Pro, Business, Enterprise
  • Basic (best for: Testing accuracy, short check-ins): $0
  • Pro (best for: Individuals and teams of up to 5 billed users): $8.33/mo yearly, $16.99 monthly
  • Business (best for: Teams of up to 25 billed users with long or frequent calls): $19.99/mo yearly, $30 monthly
  • Enterprise (best for: Large companies needing SSO, SCIM and HIPAA): Custom quote

Otter.ai costs $0 on Basic, $8.33 per user a month on Pro billed yearly ($16.99 month to month), and $19.99 per user a month on Business billed yearly ($30 monthly), as of October 2026 on Otter's pricing page. Enterprise is a custom quote. The plan you need is decided by minutes and meeting length, not features: Pro stops at 1,200 minutes a month and 90 minutes per meeting, Business removes both caps.

That makes Otter one of the cheaper paid meeting recorders on an annual contract, and an expensive one if you pay monthly, because the month-to-month Pro rate is roughly double the yearly one. Basic is useful for testing accuracy on your own calls, but its 30-minute cutoff ends most real meetings before the wrap-up.

Toolradar data: in the October 2026 snapshot on Otter's Toolradar page, Otter.ai is the #2 most-listed alternative among 170 transcription tools, and its entry plan ranks #20 of 65 priced tools against a category median of $12.50 a month. In plain terms, buyers cross-shop it constantly and it sits below the typical entry price, which is why the billing choice below matters more than the sticker.

Plan Price per user Transcription per month Max meeting length Best for
Basic $0 300 minutes 30 minutes Testing accuracy, short check-ins
Pro $8.33/mo yearly, $16.99 monthly 1,200 minutes 90 minutes Individuals and teams of up to 5 billed users
Business $19.99/mo yearly, $30 monthly Unlimited meetings and recordings 4 hours Teams of up to 25 billed users with long or frequent calls
Enterprise Custom quote Unlimited 4 hours Large companies needing SSO, SCIM and HIPAA

How much does Otter.ai cost per user?

Every paid Otter plan is priced per user, so the real bill is the per-seat rate times the people who record meetings. On yearly billing, one Pro seat works out to $99.96 a year and one Business seat to $239.88. On monthly billing the same seats cost $203.88 and $360 over twelve months.

Yearly billing cuts Pro by about 51% and Business by about 33%. That is the single biggest lever on an Otter bill, larger than the gap between the two plans. The trade-off is commitment: you pay for a year of a seat even if the person stops recording in month three, so monthly billing makes sense only for a trial period or a short project.

Otter also shows a promotion on monthly Business in October 2026 ("20% off for 3 months+"), which brings the seat to $24. Treat promotions as temporary and budget on the full monthly list price.

Basic: 300 free minutes with a 30-minute ceiling

Basic is free forever and gives each user 300 transcription minutes a month, shared across live meetings and in-app recordings, with no rollover. Conversations stop at 30 minutes, you get 3 audio or video file imports for the lifetime of the account, and AI chat is capped at 20 queries per user (3 per conversation). Exports are limited to mp3 and txt.

The minute allowance looks generous next to the meeting cap. Ten 30-minute calls use the whole monthly allowance, and anything longer than half an hour gets cut. Basic is a sampler, not a workflow. If you mostly want free transcripts of uploaded files, three lifetime imports will not carry you; our best free AI transcription tools list covers plans with more room for that job.

Basic still includes live transcription, speaker identification, the iOS and Android apps, and the Zoom, Microsoft Teams and Google Meet integrations. That is enough to judge whether Otter's transcripts hold up on your accents and audio quality before you pay.

Pro: 1,200 minutes and 90-minute meetings

Pro on yearly billing is the plan most individuals should price first. It raises the pool to 1,200 minutes per user a month (again shared across meetings and recordings, no rollover), allows meetings up to 90 minutes, adds 10 file imports a month, lets Otter join 2 meetings at once and raises AI chat to 50 queries per user.

Pro also unlocks the parts that make transcripts useful after the call: pdf, docx and srt exports, unlimited storage, a custom vocabulary of 100 names and 100 other terms at both user and team level, and Salesforce and HubSpot integrations (subject to user limits). For a salesperson or consultant who logs calls in a CRM, that integration is often the real reason to upgrade.

The ceiling is about 20 hours of recording a month. Someone in five hours of meetings a week records around 1,300 minutes a month, which already exceeds the pool. Pro also caps the workspace at 5 billed users, so a sixth person forces the whole team onto Business. At the yearly rate, the annual plan comes to under a cent per transcribed minute if you use the full allowance.

Business: unlimited minutes and 4-hour meetings

Business removes the minute pool: meetings and in-app recordings are unlimited, file imports are unlimited, and a single meeting can run up to 4 hours. Otter can join 3 meetings at the same time, AI chat rises to 200 queries per user, and the team vocabulary grows to 800 names and 800 other terms.

The other half of Business is administration. Activity logs, usage analytics, bulk export, custom AI workflows, additional custom integrations and prioritized support arrive here, and the workspace goes up to 25 billed users. Pay for Business when minutes or meeting length are the limit, not for the admin panel alone. A three-person team that records 10 hours a month each gets nothing from Business that justifies $11.66 more per seat on yearly billing.

The clear Business buyers are people whose calls outlast the Pro cap (workshops, depositions, board meetings, research interviews) and teams that would otherwise drain the Pro minute pool before month end. For a closer look at how Otter handles those long sessions in practice, our Otter.ai review covers features and weaknesses beyond price.

Enterprise: custom quote with a 100-user minimum

Otter does not publish an Enterprise price; the pricing page offers a demo instead of a checkout. What it lists: unlimited custom AI workflows, SSO, SCIM and domain capture, a HIPAA compliance add-on, API and webhooks, unlimited workspace members and a customer success program. The comparison table notes a minimum license of 100 users for the SSO, SCIM and domain capture features.

That minimum decides who should even ask. A 40-person company that needs SSO has no self-serve route on Otter and must either negotiate or look elsewhere. Healthcare teams should note that HIPAA coverage is an add-on to Enterprise, not something any self-serve plan carries.

What a team actually pays: three scenarios

These scenarios use Otter's list prices from October 2026 and assume yearly billing unless stated.

A solo consultant with 12 hours of client calls a month. That is 720 minutes, comfortably inside the Pro pool, and if most calls end within the Pro meeting cap there is no reason to pay for Business. Pro yearly costs $99.96 for the year. On monthly billing the same year costs $203.88, so the annual plan saves $103.92.

A five-person sales team, each with 15 hours of calls a month. Each rep records about 900 minutes, so Pro fits, and five seats is exactly the Pro limit. The annual bill is $499.80 for the team. Add a sixth rep and the team must move to Business, where six seats cost $1,439.28 a year.

A research team of eight running 2-hour interviews. The Pro meeting cap rules out that plan regardless of minutes, and eight users exceed the Pro seat limit anyway. Business yearly costs $1,919.04 a year; paid monthly it would be $2,880. If the interviews are recorded files rather than live calls, Business's unlimited imports carry that work too.

How Otter compares with Fireflies and Granola on price

Otter's yearly Pro rate undercuts the two rivals buyers most often weigh it against. Fireflies' pricing guide lists Pro at $10 per user a month billed yearly ($18 monthly), Business at $19 yearly ($29 monthly) and Enterprise at $39 billed yearly. Granola's pricing page lists Basic at $0 with 30 days of meeting history, Business at $14 per user a month and Enterprise at $35.

Tool Entry paid plan Mid tier Free plan
Otter.ai Pro $8.33/mo yearly, $16.99 monthly Business $19.99/mo yearly, $30 monthly 300 minutes, 30-minute meetings
Fireflies Pro $10/mo yearly, $18 monthly Business $19/mo yearly, $29 monthly Yes
Granola Business $14/mo Enterprise $35/mo Basic with 30 days of history

For the five-person team above, Otter Pro yearly comes to $499.80 a year against $600 for Fireflies Pro at its yearly rate. Otter's price edge holds only at the entry tier. At the mid tier, Fireflies Business is a dollar a seat cheaper than Otter Business on both billing terms, so the choice there comes down to features and workflow, not price.

Granola prices a single paid tier for most teams, and its free plan limits how far back your notes go rather than how many minutes you record. Our Fireflies vs Otter comparison covers the feature trade-offs, the Granola review covers its approach, and the Fireflies.ai review goes through its plan limits. Discounts and payment details

Students and teachers with a .edu email get 20% off Otter Pro, which Otter lists as $6.67 a month on annual billing ($79.99 for the year) or $13.59 a month on monthly billing. Otter does not list a free trial for Pro or Business on its pricing page, so Basic is the trial.

You can pay by credit or debit card, or through the Apple App Store and Google Play; PayPal is not accepted, which matters for buyers who route software through a PayPal business account.

Minutes reset each month and never roll over on any plan with a pool. A quiet month does not bank time for a busy one, so size the plan to your heaviest normal month rather than your average.

Which Otter plan to buy

Stay on Basic if your meetings are under 30 minutes and you record fewer than about 10 a month. Move to Pro yearly the moment a meeting gets cut off or you need docx exports and CRM sync; for most individuals it is the right plan. Choose Business when calls run past an hour and a half, when a rep needs more than 20 hours a month, or when the team grows beyond 5 people.

Do not pay monthly for longer than a trial period. The monthly Pro rate costs $8.66 more per seat every month than the yearly rate, and over twelve months that gap covers a second Pro seat on yearly billing. How we checked these prices

Louis Corneloup, founder of Dupple and Toolradar, prepared this breakdown for people choosing an Otter plan. We read the plans, limits and comparison table on Otter's pricing page in October 2026, competitor prices on Fireflies' pricing guide and Granola's pricing page the same month, and the category figures on Otter's Toolradar page. The yearly totals and scenario costs are our own arithmetic from those list prices. Publishing rules sit on the AIpresso about page.

FAQ

How much does Otter.ai cost in 2026?

Otter Basic is free, Pro is $8.33 per user a month billed yearly or $16.99 monthly, and Business is $19.99 per user a month billed yearly or $30 monthly. Enterprise is a custom quote. These are the list prices on Otter's pricing page in October 2026.

Is Otter.ai free?

Yes. Basic is free forever with 300 transcription minutes per user a month, meetings capped at 30 minutes, 3 lifetime file imports and 20 AI chat queries. It is enough to test transcript quality on your own calls, but the 30-minute cap cuts off most longer meetings.

How many minutes do you get on Otter Pro?

Pro includes 1,200 transcription minutes per user a month, shared across meetings and in-app recordings, with no rollover. Each meeting can last up to 90 minutes, and you get 10 file imports a month. Anyone recording more than about 20 hours a month needs Business, which has no minute limit.

What is the difference between Otter Pro and Business?

Business removes the minute pool, raises the meeting length from 90 minutes to 4 hours, allows unlimited imports, joins 3 meetings at once instead of 2 and supports 25 billed users instead of 5. It also adds activity logs, usage analytics and bulk export. Pay for it when minutes, meeting length or team size are the constraint.

Does Otter.ai offer a discount?

Yearly billing is the main discount, saving about 51% on Pro and 33% on Business against monthly rates. Students and teachers with a .edu email get 20% off Pro, which Otter lists at $79.99 for a year. Otter does not list a free trial for its paid plans.

Is Otter.ai cheaper than Fireflies?

At the entry tier, yes: Otter Pro billed yearly is $1.67 a month below the $10 Fireflies charges for Pro, though Otter Pro comes with a fixed monthly minute pool. At the mid tier Fireflies is slightly cheaper, with Business at $19 yearly against Otter's $19.99.

Does Otter.ai have an Enterprise plan?

Yes, with a custom quote rather than a public price. It adds SSO, SCIM, domain capture, API and webhooks, and a HIPAA compliance add-on, and Otter's comparison table lists a 100-user minimum license for the single sign-on features.
