Read AI Review 2026
What the free plan's 5 transcripts cover, why playback costs an Enterprise seat, what the privacy policy says about retention and training, and how the price compares with Otter, Fireflies, Fathom and Granola.
Read AI is worth paying for if you want one assistant that summarizes meetings, email and chat, and you can live without recordings on the entry plan. The Free plan covers 5 meeting transcripts a month, Pro is $15 per user a month billed annually or $19.75 monthly for unlimited transcripts, and Enterprise is $22.50 a month billed annually for audio and video playback, as listed on Read AI's own pricing page in October 2026.
The catch is that playback sits above Pro. A team that wants to re-watch a call pays the Enterprise rate, and HIPAA, SAML and custom retention need Enterprise+ with at least 5 licenses. Otter, Fireflies, Fathom and Granola all undercut Read AI's annual Pro price, so the case for Read AI is the cross-channel search, not the sticker.
Key factsBest for: Teams that want one search over meetings, email and Slack…
- A meeting assistant that also summarizes your inbox and chat, priced above its rivals and without playback until Enterprise.
- Free plan: The Free plan includes 5 meeting transcripts a month.
- Playback: Audio and video playback starts on the Enterprise plan.
- Longest meeting: Pro and Enterprise measure meetings up to 4 hours, Enterprise+ up to 8.
- Retention: The privacy policy keeps audio and video for no longer than 2 years.
Pros
- Ask Read searches meetings, Gmail, Outlook and Slack together, which Otter, Fireflies, Fathom and Granola do not offer.
- Pro removes the transcript cap and adds Notion, Salesforce, HubSpot, Jira and Zapier integrations.
- Enterprise+ brings HIPAA, SAML and SCIM and a custom retention policy for regulated teams.
Cons
- Audio and video playback is absent on Free and Pro, so re-watching a call costs the Enterprise rate.
- Free users cannot join a workspace, so every team member needs a paid license.
- The privacy policy allows model training within the service and keeps recordings for up to 2 years.

Read AI's pitch is wider than a meeting bot: it joins Zoom, Microsoft Teams and Google Meet, writes the summary and action items, and then folds your Gmail, Outlook and Slack into one searchable record through Ask Read.
The rivals on this page win on a lower annual seat or a roomier free plan, so the question in 2026 is whether the email and chat layer is worth paying more per seat than Otter or Fireflies charge.
This review answers it on cost and on terms. It covers what each Read AI plan costs, what the Free plan's 5 transcripts and 1-hour cap leave out, where playback and compliance move you up a tier, what the privacy policy says about retention and model training, and how the price compares with four alternatives read on their own pricing pages.
We do not grade transcript accuracy, because Dupple runs no test lab and accuracy depends on your audio.
What is Read AI?
Read AI is an AI meeting assistant that produces real-time notes, summaries, transcripts and action items for video calls, and extends the same summaries to email and messaging. It runs on Windows, macOS, iOS and Android, joins calls as an assistant on Zoom, Teams and Meet, and connects to Salesforce, HubSpot, Notion, Jira, Asana and Slack.
The vendor states SOC 2 Type 2 certification with GDPR and HIPAA compliance on its homepage.
Toolradar data: on Toolradar, the software directory we run, Read AI's entry paid price ranks 36th of 65 priced transcription tools, where the median entry price is $12.50 a month, and it is listed as an alternative to 9 tools among the 170 in the category, as of October 2026.
The transcription ranking evaluated 169 tools on October 16, 2026, and 8 of its top 10 have a free plan. Read AI's free plan is real but narrow, which is what the rest of this page is about.
How Read AI works
You connect your calendar and Read AI's assistant joins the scheduled call, or you open the in-meeting dashboard for live notes and metrics. After the call a meeting report lands with the summary, action items and topic readouts, and Ask Read lets you search across meetings, email and messages.
On the Free plan you get 5 meeting transcripts a month and meetings are measured up to 1 hour; Pro removes the transcript cap and lifts the measured length to 4 hours.
The meter that decides your plan is the recording. Audio and video playback is an Enterprise feature, so Free and Pro users keep the transcript and the summary but not the recording itself. Enterprise also adds video highlights and 200 file upload credits a month, against 100 on Pro, for uploading your own audio and video.
Enterprise+ raises the measured meeting length to 8 hours, adds 300 upload credits, HIPAA, SAML and SCIM, domain capture and a custom data retention policy, and requires at least 5 licenses.
Licenses are individual. Read AI's FAQ says every person you invite to a workspace needs a paid license, and free users cannot be part of a workspace, so a team of five cannot mix one paid admin with four free seats. That rule is the difference between a one-seat trial and a real team bill.
On privacy, the policy states that audio and video information is kept "in no case for longer than 2 years", that paid-account data is retained until you stop paying or ask for deletion, and that Read AI "may use information to train and improve our models within our Services".
Deletion requests go through the account settings or [email protected]. Teams that need a shorter retention window buy it on Enterprise+.

Read AI pricing
Read AI's pricing page, checked on October 17, 2026, lists every plan in US dollars per user per month, and the annual toggle is labelled a 25% discount.
Free costs nothing and needs no card, Pro is $15 billed annually or $19.75 monthly, Enterprise is $22.50 billed annually or $29.75 monthly, and Enterprise+ is $39.75 monthly, 25% less billed annually, with a 5-license minimum.
A five-person team pays $900 a year on annual Pro and $1,350 on annual Enterprise, the tier most teams actually want because it is the first with playback. Paying monthly for Pro instead comes to $1,185 over the same year, so the annual toggle is worth $285 on five seats.
The same five seats cost less at every rival on annual billing: Otter Pro is $8.33 a seat ($499.80 a year), Fireflies Pro $10 ($600), Granola Business $14 ($840) and Fathom Team the same $900 as Read AI's Pro, with recordings included.
Read AI's price is therefore a premium for the email and chat layer, and a team that only needs meeting notes is paying for search it may not use.
The best AI meeting assistants ranking puts all five side by side, and the Fireflies vs Otter comparison covers the two cheapest.
| Plan | Price | Best for |
|---|---|---|
| Free | $0 | 5 meeting transcripts a month, meetings measured up to 1 hour, summaries and search, basic integrations, no playback |
| Pro | $15/user/mo billed annually or $19.75 monthly | Unlimited transcripts and reports, 4-hour meetings, 100 file upload credits a month, premium integrations, no playback |
| Enterprise | $22.50/user/mo billed annually or $29.75 monthly | Everything in Pro plus audio and video playback, video highlights, 200 upload credits, premium support |
| Enterprise+ | $29.75/user/mo billed annually or $39.75 monthly | 8-hour meetings, 300 upload credits, HIPAA, SAML and SCIM, domain capture, custom retention; 5 licenses minimum |

Who Read AI is for
Read AI is a strong fit for managers and sales or customer teams whose day runs across meetings, email and Slack and who want one search over all three. It also suits teams already on HubSpot, Salesforce or Jira, because the premium integrations start on Pro.
The wider shortlist sits in our AI meeting assistants ranking, and the AI note-taking apps guide covers tools that skip the bot.
Match the plan to the recording, not the transcript count. Free fits someone with fewer than five meetings a month worth keeping, and its 1-hour measurement cap rules out long workshops. Pro fits a person or small team that reads summaries and never re-watches.
Enterprise is the real team plan because playback starts there, and Enterprise+ is for regulated teams of five or more that need HIPAA, SSO and a retention policy they control.
Skip it if you only need meeting notes. Fathom records and summarizes for free, Otter's annual Pro is the cheapest paid transcript seat in this comparison, and Granola takes notes from your own device without a bot in the call.
Skip it too if the training clause in the privacy policy is a blocker for your legal team, because the policy allows model training within the service.
Best Read AI alternatives
If Read AI is not the right fit, these are the closest options.

The bottom line
Read AI is the right buy when the email and chat search is the point. Start on Free to see whether Ask Read changes how you find things, then move to annual Pro if summaries are enough, or straight to Enterprise if anyone on the team will re-watch a call, because playback lives there and nowhere below.
Skip it if you only need meeting notes. Otter's annual Pro, Fireflies' annual Pro and Fathom's free plan all deliver transcripts and summaries for less, and Fathom includes the recording Read AI reserves for Enterprise.
Our Fireflies review and free AI note-takers guide cover the cheaper routes, and Toolradar holds the product records for Otter, Fireflies, Fathom and Granola.
How we compared: prices and plan limits were read on Read AI's pricing page and on the four rivals' pricing pages on October 17, 2026, the privacy terms on Read AI's privacy policy the same day, and the category figures come from Toolradar's October 2026 transcription data; no hands-on testing was done.
